Keep the pack small enough to use under pressure

Make two small items. The shareable address card should show the first hotel's English and Chinese names, full address, phone number, arrival terminal or station, and confirmed transfer route. Copy the Chinese text from the live booking or hotel. Do not create it with a guess or automatic translation.

Keep booking references, the next fixed booking, a relevant onward itinerary, insurer assistance route, embassy or consulate contact, and a trusted contact at home in a separate private note. Do not put a booking reference on the address card you may show to a driver.

Keep official documents and forms separate

Carry the original travel document required for each official or operator check securely. A saved or printed copy can help with recovery, but it does not replace the required original.

The cited State Council guide gives railway and hotel document examples for business expatriates. Use those examples only within that stated scope, and confirm the live requirement for your own border, hotel, railway, or other task.

The offline pack is not the official arrival card or a Customs declaration. Complete those processes separately when they apply.

Save only what you can protect

Do not place passwords, PINs, full card details, payment credentials, active QR codes, or unnecessary account screenshots in a general folder. If you choose to keep a protected recovery copy of an identity document, store it separately with strong device security and share it only when necessary.

Give a trusted contact the trip outline and contact route, not a full copy of every personal document.

Confirm the first night's accommodation

Hotels submit foreign-guest registration under NIA guidance. For a non-hotel stay, the foreign traveler or host must complete accommodation registration within 24 hours under the official rule. Confirm the process with the host before arrival.

For an eligible visa-free route, the cited Chinese Embassy FAQ recommends carrying documents such as air tickets and accommodation reservations that match the stated purpose. That advice is specific to the cited visa-free context and is not the only entry rule for every traveler.

Test the fallback before you leave

Open the phone copy in airplane mode. Make sure the text is large enough to show to staff. Print the first-hour page and keep it away from the phone.

If both mobile data and digital payment fail, use the paper address at an official information desk or signed taxi queue where one is available, and keep a small RMB reserve ready. If the address is still unclear, ask staff or the driver to call the hotel using the number on the card. Update or destroy old copies after a hotel, flight, or station changes.
